Zoom Integration Guide

1. Overview

Takvimera is an appointment and client management platform for healthcare professionals — therapists, dietitians, coaches, and counselors. The Zoom integration allows professionals to automatically create Zoom meeting links when scheduling online sessions with their clients.

When you connect your Zoom account and select "Zoom" as the session platform, Takvimera will:

3. Adding the Zoom Integration

1Log in to Takvimera
Go to www.takvimera.com/login and sign in with your email and password.
2Navigate to Settings → Integrations
Click Settings (Ayarlar) in the sidebar, then select the Integrations (Bağlantılar) tab.
3Find the Zoom card
Scroll down to the video conferencing section. You will see cards for Microsoft Teams, Google Meet, and Zoom. Click the "Connect with Zoom" button on the Zoom card.
4Authorize Takvimera
You will be redirected to Zoom's authorization page. Review the permissions requested:
  • Create meetings — allows Takvimera to create Zoom meetings on your behalf
  • View user information — allows Takvimera to identify your Zoom account
Click "Allow" to authorize.
5Confirm connection
You will be redirected back to Takvimera. The Zoom card will now show a green "Connected" badge with your Zoom email address. The integration is ready to use.
Alternative: Manual Zoom URL
If you prefer not to connect via OAuth, you can enter your personal Zoom meeting URL manually in Settings → Integrations → Zoom → "Personal Meeting URL" field. This URL will be used for all your online sessions without requiring OAuth authorization.

Creating an appointment with Zoom

1Open the calendar
Go to the Calendar page and click on a time slot, or click "New Appointment".
2Select Zoom as the platform
In the appointment form, under "Session Type", select the Zoom button. If you have connected your Zoom account, a meeting will be created automatically. If you entered a manual URL, that URL will be used.
3Save the appointment
Fill in the client, date, time, and notification method, then click Save. A Zoom meeting link is generated and included in the confirmation email to your client.

Joining a Zoom session

On your dashboard, upcoming appointments show a blue "Join via Zoom" button. Click it to open the Zoom meeting directly. Your client receives the same link in their email and can join from there.

5. Troubleshooting

"Zoom connection failed"

Make sure you clicked "Allow" on the Zoom authorization page. If you clicked "Deny" or closed the window, go back to Settings → Integrations and try again.

"Meeting not created"

This can happen if your Zoom account has been deactivated or your OAuth token has expired. Go to Settings → Integrations, disconnect Zoom, and reconnect.

"I see the wrong Zoom account"

If you have multiple Zoom accounts, make sure you are logged into the correct one before authorizing. You can disconnect and reconnect with a different account.

6. Removing the Integration

1Go to Settings → Integrations
Navigate to the Zoom card in the Integrations tab.
2Click "Disconnect"
Click the "Disconnect" button on the Zoom card. Confirm the action.
3Revoke access from Zoom (optional)
For complete removal, also revoke access from your Zoom account:
  1. Go to Zoom Marketplace → Installed Apps
  2. Find "Takvimera" and click "Uninstall"
What happens when you disconnect:
• Your Zoom OAuth tokens are immediately deleted from Takvimera's database
• Your Zoom user ID is removed
• Existing appointment links remain functional (Zoom doesn't invalidate meeting URLs)
• New appointments will not be able to use Zoom unless you reconnect or enter a manual URL
• No other Zoom data is affected — we never access your recordings, chat, or other meetings

When you disconnect the integration, all stored Zoom data (tokens, user ID) is permanently deleted. Meeting URLs in existing appointments remain as plain text links.
